POSITION DESCRIPTION

Title:	Archives Specialist, Image Collections and Fieldwork Archives 

Location:    Dumbarton Oaks Library and other locations as necessary.  Dumbarton Oaks Research Library and Collection, Trustees for Harvard University, located in Georgetown in the Washington, DC area, is dedicated to supporting scholarship internationally in Byzantine, Garden and Landscape, and Pre-Columbian studies through Fellowships, symposia, exhibitions and publications.  
    The Image Collections & Fieldwork Archives (ICFA) is located in the Library building (http://www.doaks.org/library/icfa.html). The ICFA supports scholarship in Byzantine, Pre-Columbian, and Garden and Landscape studies by acquiring, organizing, preserving, cataloging, and providing access to images in various media; documentation, both textual and visual, of archaeological surveys and excavations; and papers of noteworthy scholars in the three disciplines. The Byzantine collection of ICFA includes approximately one-half million photographs in different formats as well as fieldwork papers and records.

Function: Dumbarton Oaks is seeking an Archives Specialist for its Image Collections & Fieldwork Archives.  The position is a limited term appointment of one year (12 months). Reporting to the Manager of the ICFA, the Archives Specialist will work closely with the Byzantine Assistant Curator and the Digitization Specialist to provide greater access to the ICFA’s holdings by establishing physical and intellectual control over its multi-media collections. 

Key Responsibilities:
1.	The Archives Specialist will inventory, arrange, re-house, describe, preserve, and otherwise process archival and photographic collections in the ICFA to professional archival standards. 
2.	In collaboration with ICFA staff, the Archives Specialist will update existing inventories, assess the collections’ physical condition and storage environment, and perform tasks necessary to ensure their long-term preservation. 
3.	 Oversee the inventory and preparation of photographic and audio-visual materials for cold storage
4.	Evaluate unprocessed or semi-processed archival collections, prepare a processing plan for all backlog collections, and provide the Manager with ongoing progress reports
5.	Create and maintain finding aids according to established local practice and professional archival standards
6.	Train one or more student interns in archival practices and supervise their work


In addition the incumbent will:

7.	Develop cataloging standards based on ICFA researchers’ needs and bibliographic standards, e. g. Dublin Core, MARC, DACS, etc.
8.	Create collection-level records, supplemented by EAD finding aids, for delivery in Harvard’s online discovery systems, i.e. HOLLIS, OASIS, etc. 
9.	Participate in the creation of preservation, processing, and digitization guidelines, as well as the formulation of departmental policies and procedures
10.	Provide reference services, perform research, and provide administrative support as needed
11.	Other related duties as assigned by the ICFA Manager
  
Qualifications:

Requirements: 
M.L.S. degree from an ALA accredited school with a concentration and formal coursework or training in archival studies. 
At least two years experience arranging and describing archival collections or an equivalent combination of education and experience. 
A thorough understanding of archival principles and practices along with prior experience with archival processing, preservation standards, and the preparation of finding aids. 
Knowledge of metadata and cataloging standards, including EAD, DACS, MARC, Dublin Core, etc. 
Working knowledge of electronic access tools for archival collections and relational databases such as MS Access, EmbARK, etc. 
Demonstrated ability to communicate effectively, both orally and in writing. Excellent organizational and analytical skills and attention to detail. 
Ability to work independently and collaborate with other team members in an academic setting. 
Must be able to manage and prioritize a wide range of archival, preservation, and research tasks to support the departmental mission to expand access to archival collections through documentation and digitization.

Preferred: 
Experience processing photographic and audio-visual collections. 
Knowledge of preservation standards for a variety of media and best practices for the long-term storage of film-based materials in cold storage. 
Supervisory experience in an archives or special collections setting. 
Coursework or strong interest in Art History, Architecture, History, or Byzantine Studies. Experience providing reference services in an academic repository. 
Working knowledge of digital projects and digitization standards. 
Familiarity with Harvard’s online discovery systems, including VIA, HOLLIS, OASIS, etc. 



Physical Requirements:
The physical demands of this position relate primarily to an inside office environment with some exposure to the elements through travel from building to building on campus;  lifting up to twenty five pounds; some walking, bending, stooping, and reaching.  This position requires both near and far focus and the ability to sit for occasional long periods.

Compensation:
Final salary will be determined by education, experience and skill sets.  The range for this position has been established at 34-53K.
